Position: Constituency Manager
Grade: Administrative Assistant
Location: Greystones Office of Jennifer Whitmore TD, Wicklow Constituency
Reports to: Jennifer Whitmore TD
Deadline: close of business Tuesday 5 th February 2025
Role Overview
-
The Constituency Manager will support Jennifer Whitmore TD by ensuring the efficient operation of the constituency office and by managing a wide range of administrative, representational, and communications duties. The successful candidate will demonstrate strong organisational skills, discretion, and the ability to work in a fast-paced political environment.
Key Responsibilities
1. Constituency Representation Management
- Handle representations made by constituents in a professional and confidential manner.
- Liaise with government departments, local authorities, and other agencies to ensure
timely responses and outcomes. - Maintain a comprehensive casework database to monitor progress and report on
outcomes.
2. Operational Office Management
- Oversee the daily operations of the constituency office, including correspondence,
scheduling, and filing. - Manage accounts, including budget tracking, invoices, and expense claims, ensuring
compliance with Oireachtas guidelines. - Develop and implement office systems to enhance efficiency.
3. Communications and Media
- Work with the team to draft press releases, media statements, and newsletters.
- Monitor local and national media to identify issues of relevance to the constituency.
4. Event Coordination
- Organise and coordinate public meetings, clinics, and other constituency events.
- Represent Jennifer Whitmore TD at local events as required.
Skills and Competencies
- Strong organisational and administrative skills.
- Excellent written and verbal communication abilities.
- Familiarity with Wicklow’s needs and local issues is essential and involvement in community
groups is desirable. - Ability to handle confidential information with discretion.
- Proactive approach and ability to work both independently and as part of a team.
Qualifications and Experience
- Experience in an administrative or office management role is desirable.
- Prior experience in community engagement or outreach is desirable.
- Experience in a public facing role is an advantage.
- Strong IT skills, including proficiency in Microsoft Office.
Terms of Employment
- Full-time, fixed-term contract for the duration of Jennifer Whitmore TD’s term in office.
- Salary commensurate with the Administrative Assistant grade as per Oireachtas pay scales.
- Minimum three days working in the constituency office, subject to change based on Dáil schedule.
- Occasional evening and weekend work may be required.
